We’ve had a phenomenal response since the initial announcement of the teaser site last week. Thanks to everyone who has registered their interest.

We would like to give you the chance to voice your opinions on what features your ideal GTD/project management app would have, how do you work with GTD and what are the shortfalls of existing tools?

    I am a programmer, business owner, web developer and have been working with the GTD concepts for over a year. Where I struggle is how to handle keeping projects organized by client and keeping with trouble tickets/change requests. A web-based tool that allows me to view my data from different perspectives, would be very handy.

    For me to use a web-based tool, I must have the ability to print out my actions and projects, both as lists and as one-page memos. I will often print several actions as one page per action, and use the bottom half of the page to record my billable time and any actions that arise from the work on this one.

    I have looked at various GTD software packages and found they way they handled next actions sometimes lacking. I would like to be able to view a project, see all of it’s actions in a prioritized order by context and have the ability to work through them. However, when I look at a context list, I only want to see one Next Action for each project. If I complete that action, then the next “NA” shows up at the bottom of the list. As a programmer, it is sometimes much more productive to stay focused on a single project in a single language instead of jumping back and forth between projects and development environments.

    My requirements are:

    Action list with facility for postdated actions (only appearing when they start in the future but not before) and recurrent actions (repeating for example weekly or one week after each completion). Obviously for GTD each action must be able to be tagged with @contexts.

    The action list has to be available for different views including: all, active tasks, only certain categories/contexts, grouped into categories/contexts, only priority actions.

    Project list divided into focus areas. Each project must have a space for notes.

    Ideally it should be possible to quickly and easily link an action to a project and vise versa.

    If there was some tool for looking at 50, 000ft, 10,000 ft levels that would be great too but not really necessary for me.

    It would also be fantastic if there was some mapping/brainstorming tools in there but that’s probably asking too much.

    As you can see from above, applications like Outlook and Life Balance fulfil most of my needs and these have versions for the Palm which is great too.

    I have often thought however that it would be great to have a web based application for GTD if it could synch with the desktop and/or a palm. I’m often near a internet cafe and would like to do the weekly review / procect planning but there is no web based application that fulfils my needs at present.

    So good luck in your endeavour. I’m sure there’s a big market for it.

    A lot of the features you mention are already targets for our initial release.

    As above :-) I think the ability to be web based is brilliant BUT I spend a lot of time with my pocket PC away from WWW connectivity and would like to be able to work off line and then sync when I next connect. The online apps are most lacking in this area.

    What is also lacking for me so far is a decent outlining facility that integrates into tasks/calendar/NA etc. It is either good at on or the other of these functions…or mobile versions are only available for the palm owners.

    Please test this against as many browsers as you possible. Ideally, it should be written to work with all but, based on my experience, there are issues with various versions and platforms that inevitably crop up. For example, I’m currently working with a Nokia 770 Internet Tablet which uses a mobile version of the Opera browser and has the option of running a variant of the Mozilla browser. I’d very much like to see propel’r accessible on this device.

    As I use a variety of devices (MacBook, Tablet PC, standard Windows XP laptop, Treo, Nokia 770), it’s critically important that any web service be accessible regardless of the device I’m currently using.

    I’m anxiously awaiting a chance to put propel’r to the test!

    One friendly suggestion. Please enable larger font sizes for the over 40 crowd! I have turned away from another web based GTD type app simply because of the difficulty experienced when attempting to review my project, context, and next action entries! Using pharmacy glasses kind of dampens the Web 2.0 spirit, if you get my drift!

    The 2 most important features to me are:

    -The ability to assign a context to an action (which is obviously a huge deal with GTD)

    -The ability to assign a role to a an action as well (this is the big one that I feel is getting neglected with the newer systems that are out there. There seems to be lots of buz about GTD and I am glad because its the task managemet method that I use and I see many systems out there now that let you tag an action/task with a context but none that let you tag an action/task with a role as well.

    I like to brainstorm and categorize my projects and tasks according to role (concept from 7 habits). I am tired of trying to come up with my own little hacks to try to achieve this within software packages. I would love if you would provide the ability to do both :)

    By “role” I mean: “husband”, “father”, “Website Project Manager”, “Sunday School Teacher” etc. (my areas of responsibility)

    In the seven habits when you do your weekly review you look at your “roles” and develop/schedule you tasks accordingly.

    David Allen also mentions Roles In his tape series but doesn’t spend as much time on it as in the 7 habits.

    The best implementation im my view would include the following:

    • The obvious essentials in GTD, such as assigning tasks to contexts and projects and being able to view tasks within those contexts/projects
    • The ability to quickly view a list of my projects and know which one’s don’t have an associated next action pending
    • Some type of linkage to email where I can create a task from an email message
    • A place to process notes and keep them for reference with associated projects
    • Global search
    • A way to group projects so I can associate them with higher level (50K, 40K… ft items such as goals, roles, high priority areas, etc.)
    • Either some type of calendaring built in or ability to link via ical, or other sync to other calendar applications

    • While not a requirement for a GTD system, a bonus item would be to include some type of contact functionality integrated into the system.

    Greg: You’re in luck, all of your requirements are on our features list with the exception of your email point.

    With regards to the email point, we are toying with the idea of being able to forward emails to a Propel’r “collect” account. That way if you have emails that need processing, you can forward them to your Propel’r email account. The message, plus any attachments would then appear in your Propel’r collection area.

    Does this sound along the right lines?

    Well, for one thing if you’ve got these things covered, I can’t wait for the service to be available, and if you’re looking for early alpha/beta testers, do let me know. As far as forwarding emails to a propel’r collect account, that’s exactly what I would envision, and having the attachments included is perfect. The only other way to handle this would be if you had a full blown email client embedded, but most people are already tied to some other email system already anyway.

    Ah, almost forgot one other thing which is VERY helpful in my view:

    - Mobile access (i.e. from a wireless PDA, smartphone, blackberry, etc.)

    Since I’m often not in front of a computer, the ability to use a mobile device in a pinch is a great feature. This is obviously a difficult one, but handy when you’re on the run:)

    Greg: With regards mobile access, any device that supports basic web browsing will be able to access the service. We are creating small-screen-friendly stylesheets so that everything will be accessible on a PDA etc.

    Very nice. Clearly the Propel’r team really “gets it” as far as what is needed for a web-based productivity tool. If the final product is as good as the advertising, you will definitely have a hit on your hands!

    Along with lots of flexibility in how to sort items, one of my requirements is “pretty”! Otherwise, I won’t use it long-term.

    From looking at the teaser site, you’ve definitely got that covered. ;-)

    By flexibility in sorting, I mean that sometimes I’d like to see items by project, then other times by role (as Christian mentioned), other times by context, and so on.

    I’m also volunteering to be a tester (used to oversee QA in software companies in another life).

    Sheila: Thanks for the comment. You can rest assured that the interface will be “pretty”, our main focus is on usability and a design that is easy on the eyes, as with the nature of GTD it will be used day-in day-out by both individuals and clients.

    We’ll keep you in mind for testing as and when we have a beta release ready.

    Hopefully we will be able to publish some screenshots soon for peoples comments.

    The one thing that I have found lacking in most web implementations of GTD is an easy way to template a recurring project. For instance, the steps I have to take to close a contract are the same for each customer, so it would be quite helpful to avoid the repetition of manually entering the tasks each time.

    chris: Funny you should mention that, we are implementing templated projects e.g. if you are an ad agency that has a standard process for commissioning the ad, producing concepts, seeking approval, billing etc., this could all be stored in a templated project along with each actions assigned context.

    This is getting ahead of the whole “initial phase” kind of thinking, but I would like to one day see “bespoke” versions of your GTD app. In other words, I would like to see this utility employed with deliberate design intent to serve different crowds, not just the corporate bears and bulls among us. Lord knows, that crowd has been wrestling with productivity and efficiency for as long as there has been printed money! I’m thinking most often about ways in which tools like this would be so very helpful to other communities with thought-to-action issues, such as kids with special learning needs/emotional-behavioral confusion, economically or culturally disadvantaged individuals, folks that have been out of the workforce, seniors trying to cut through the fog of independent living tasks despite impaired cognitive ability and declining memory; school kids seeking easy task constructs, not to mention another old favorite subject of mine, personal enrichment, wellness, and ecological uses. Thanks for the space to brainstorm! Your designs are going to be beautiful if what you have displayed is any indication, so this inspires me to think of how this utility would benefit the entire village, not just the early adopters and whiz kids (I say that appreciatively). Free and for-pay versions could be served up, and some versions could be donated to non-profits (or collaboratively designed) as appropriate. Peace!

    A crucial part of GTD is the review of the project list to check whether all projects have at least one next action.

    I would like to be able to see both lists: action list and project list on the screen. The action list should be grouped into contexts and the project list into areas of focus (but with all visible). Then it would be an easy case of referencing one with another. It must be necessary to scroll each independantly.

    You could also have a way of linking the projects and actions. But it must be very simple and quick and it must be easy to see the existing links.

    Paul: Some very interesting comments, I like the idea of bespoke solutions. The whole idea behind this app is to keep things modular meaning bespoke uses shouldn’t cause too much of a challenge. We will be providing an API enabling all sorts of systems to integrate with the service.

    Tom: Your comments confirm the fact that there needs to be multiple ways of viewing next actions and projects as people work in different ways. We are working with the same principles as Apple’s iTunes (the three toggle buttons at the top) in that we will be offering different ways of viewing actions via context and project along with easy in-place editing.

    Everyone: I would like to apologize for being so vague. There are a great deal of factors that need to be addressed for an app trying to fulfill the needs of GTD and team project management. We want to ensure that we cover as many bases as possible without ending up with a bloated “everything but the kitchen sink” application.

    We feel that it is an important exercise to gather as many thoughts and ideas as possible from the people who will actually be using the app as GTD can be implemented in a variety of ways.

    I have heard the phrase “vapor-ware” used in the context of Propel’r and I would like to assure everyone that a beta will be available as soon as we feel it is right for general consumption. Thanks for your patients.

    I’ve been trying a few out and I find a few needs that I have:

    • Fast, Intuitive AJAX interface. This needs to be as much like a desktop app as it can be.
    • Offline Mode. For editing data when you don’t have an internet connection (this happens alot for laptop users).
    • Email or SMS to an Inbox.
    • Importing/Exporting of data via iCal, CSV, or XML/OPML, or a DOC file with ordered lists… any other thoughts?
    • iCal syncing – or subscription
    • OS X Widget – for fast entry and viewing in context and daily review.
    • Calendar View (with being able to move tasks around on the calendar)
    • Paper Sync (ala iscrybe or DIY Planner or Hipster PDA. Using a folding Pocket Mod style fold or 3×5 cards, or full 8.5×11 or A4 printing.
    • Creation of sub-projects.
    • Looking at your items by view (10,000 feet, 100,000 feet, etc). Defaulting at more timely views, so you can see relevant projects and actions, as opposed to all of them.
    • Notifications (SMS & Email)

    Those are a few functional things I could think of. I look forward to seeing this app come out! Keep up the good work!

    Jay: Those screenshots look great. There will be an API available for you to tap into to achieve this functionality. We were looking to release a dashboard widget at a later date, if you get there first that’s all good.

    Ian: Thanks for the suggestions, I would say 80% of them are on our feature list and we will review the other 20%. We will soon be in a position to release a list of features that can be expected in the initial release.

    I’m sure there’s been a lot of great stuff said already, I’ll just throw in my wish list:

    1) An interface that elegantly organizes many projects, but also provides very quick viewing of the actions associated with a given project. (i.e. I only want to look the data I want to look at)

    2) A way to quickly view whatever actions match whatever context I’m currently in. i.e. Show me all my @email tasks.

    3) A way to mark one action for a project with many actions as the “NEXT” action. I often organize my projects with many actions that I know I’ll have to take, but only one of them is the next one I want to do.

    4) A Quick way to view all my “Next” actions, i.e. whichever actions are tagged as the “NEXT” action for each project.

    5) The ability to mark a project (not just an action) as “Waiting on _

    6) A way to enter items without categorizing them ( have them in my inbox, before assigning them to projects etc.. )

    7) Upload files for actions (mainly images, pdf’s, docs, etc.. )

    8) Ability to drag and drop an email from my email client (thunderbird) into the web-based interface and have it automatically register that email as a “to be sorted” item.

    9) PLEASE, PLEASE, PLEASE a way to syncronize with a PDA preferably a smart phone. I need to manage this stuff while I’m away from a computer. I have no idea what form this should take ( a client written for Windows Mobile would do ), but it needs to be Over the air sync.

    10) I need to be able to enter projects, actions, contexts, very quickly. If I have 50 projects to enter, I don’t want to have to click 6 times to enter each one. This is one of the biggest downfalls of most web apps, IMHO.

    6. Yes. This is the collection area in Propel’r.

    7. Currently we are looking at uploading assets for projects but this could be extended to specific actions.

    8. This will be handled via a Propel’r email account that you can forward emails to, the email would then appear in the Propel’r collection area.

    9. This is currently an area we are looking into. The initial release will not have offline syncing, however as this seems to be a reoccurring request we will definitely be looking into it for future releases. (This also answers Ien’s question).

    10. Yes. Ease of use if the main priority.

    To be able to edit offline would be really nice. To be able to access the site through PDA/Smartphone. Subprojects is a must. Some sort of syncing with Outlooks Calander, Contacts and Tasks? Reminders through e-mail and SMS.

    in order for this web based GTD solution to work properly, it should have the intuitiveness and feel of tracks (another GTD ruby on rails version) that can be found at http://www.rousette.org.uk/projects/ or you can register for a free on several hosted services like http://tracks.tra.in. I currently use tracks and i love it.

    Don: If we can release anything sooner we will, however we want to promise any release dates that we can’t meet.

    gilbertb: I am aware of that app, Propel’r is geared more toward teams as-well as individuals so there will be many more features than tracks and in the future will include time tracking, billing, resource management etc.

    While i know this isn’t part of GTD methodology, I find timeboxing actions within GTD a great way of prioritizing my actions. It’s the simple task of assigning how much work something is, times the priority, then sorting on this. It forces you to focus on doing the easy, important things first, and you never end up doing the hard, unimportant things. For example, an action might be Complexity a 5, Priority a 5 = 25, never do. Complexity a 1, Priority a 2 = 2, so just do it.

    One thing I haven’t yet seen in a (non-gantt-chart) planner is the ability to track dependencies. If one task depends on several others, I don’t want to see that task until the others are marked complete.

    Wow, where to begin. You guys are on a good start by asking customers what features they want. I think your on your way to conquering the GTD market. Couple of features id like…

    1. Print onto paper. Carrying around a list of any due tasks, ticklers, and then a list of all tasks in contexts can really help.

    2. SMS text-to-voice. a service called Jott allows users to phone, and it records their voice, translates it into text, and then places it in their Jott inbox. A feature like this would be amazing, because one could make reminders from anywhere. Please make this avaliable in Canada, as Jott is not.

    3. SMS reminders. Vitalist offers sms reminders on tasks. It would also be nice to have a summary TXT’ed to you daily, including todays ticklers, and tasks due today.

    4. Time remaining. GTD says to evaluate tasks by context, then time required, then energy required, then priority. Most systems have priority and context, but time required would be REALLY useful.

    5. Offline version. Kinda like scrybe.

    And maybe an option to integrate into your desktop like WallNote.

    What I would love to have ina web application is a set of several printing templates and options, includying a Pocketmod (http://www.pocketmod.com) and a 3X5 index card.

    Other great feature for me would be a palm sync.

    I’m afraid I have only skim-read previous comments, but I can already see others are thinking along the same lines. Ideally, key features include:

    - Speed of use, i.e. switching between views, drag & drop reordering, and especially fast thought-collection (for obvious reasons). - Multiple printing options and templates, including Pocketmod templates - Offline editing - Maximum compatibility with Google Calendar/iCal, GMail, Firefox, Thunderbird/Outlook, RSS, etc - flexible space allocation for notes - Email input, and mobile access - SMS input would be useful (not just in the US please)

    I currently use Thinking Rock and am about to try Monkey GTD. It sounds as though you’re going to take things up a level, and that’s very enticing.

    3 quick thoughts…

    1. Keyboard shortcuts and simple ways to open/edit next actions are key (take Gmail as a good example).

    2. Will data be encrypted (i.e., SSL)?

    3. SMS alerts / access would be a huge draw in my opinion.

    Currently, I think most web-based GTD apps lack the serious mobile component. In order for a web-based system to be reliable, it needs to be HIGHLY accessible.

    Things I’d love to see:

    • 2 way SMS communication – Add items to the inbox via SMS/email (like www.rememberthemilk.com & www.gubb.net )AND list retrieval via SMS/email (like www.gubb.net). Ideally, I could send an SMS or email containing a reference to either a context or project and recieve the contents of that list in a reply.
    • A mobile version
    • A higher level of organization – Just as projects are comprised of several actions, goals can be comprised of several projects. Over and above contexts, it’d be cool to have an open category for organization where I could slice and dice projects by either the “role” (as in Covey’s 7 habits), or the ultimate goal.
    • Speed – drag & drop reordering

    *The ability to perform a “brain dump” without having to go through the linear Goal>Project>Action process. (www.hiveminder.com has a neat implementation of this . . .)

    • Portable printing options – maybe a pocket-mod style options and/or a print to 3×5 option.
    • An API (for the guys over at imified.com to work their magic with)

    EASY, EASY, EASY collection from anywhere. I should always be able to collect a new thought when it’s triggered, no matter what view I’m in.

    Guided review processes.

    List of projects that don’t currently have a next action.

    Ability to change something from a next action to a project when I realize it’s bigger than I thought.

    Recurring tasks.

    Task dependencies (X must be done before Y).

    Ability to enter many tasks for a project but only activate a few.

    Please make sure there is a dedicated INBOX, for collecting ideas. Almost all GTD software is missing it. There should be a shortcut for a Quick Collect dialog that you can call out even while offline. It would be extremely great if it would be possible to import a file in a widely used format for batch importing from other sources. For example, I would love if I could import the to do list or notes from my Palm Z22, or any cellphone/pda etc you want. Just maximise the possibility to collect things from every single possible source

    !!!!Please include an inbox processing tool/dialog, which would show items one by one (one at the time) and the two columns for writing in what is the outcome and next action (with context selecting as well)!!!!

    Attila: We have broken the interface down into the main 5 GTD stages i.e. Collect, Process, Organize, Review and Do.

    The ‘Collect’ section is exactly what you are after, a way to setup all your collection sources. It gives you ‘quick notes’ and uploads so that you can easily collect ideas and upload meeting notes etc. There are also plans to allow configuration of POP3, RSS and other sources (do you know what format your Palm exports to?) to automatically collect all you data into one place.

    The ‘Process’ section will help you process all your collected data into projects/actions and allow you to assign contexts. This will be done via a wizard type system or key shortcuts for more experienced users.

    The Z22 can sync with Outlook, so basically it uses Outlooks formats plus a few others as far as I know:

    1. Comma-separated values (.csv)
    2. Memo Pad archive (.mpa)
    3. Address Book archive (.aba)
    4. Text (.txt)

    You could contact Palm directly to get all the necessary information.
